In an office setting, there will most likely be a professional business phone on your desk where you can make and receive calls, listen to voicemails, etc. However, if you’re anything like me, I’ve noticed there seems to be more and more buttons, options, and things that light up with no clue what to do with them or how they can help you with your work. Phones, in general, no longer provide you with the ability to make and receive calls as a main form of communication. There are so many more features now that integrate with other platforms, offer more functionality and features, and allow you to boost communication and efficiency in your work and business. Let’s take a look at some of the features of modern VoIP phones and how to maximize them to create better and more efficient communication! 

How To: Maximize VoIP Phone Features for Better Team Communication

A feature many companies love to utilize is ring groups or ring strategies. VoIP phones provide you with the opportunity to set up specific ring groups per department or any group you choose. For example, if somebody dials the sales department, each sales person’s phone can ring at the same time until answered, or it can “round robin” ring where it would ring one phone and if it was not answered in a certain number of rings (which you can set) then it would ring the next and so on. Utilizing simultaneous rings or “round robin” rings can be very helpful in ensuring no call goes unanswered. 

One feature that I particularly like and find super useful is voicemail to email. When somebody leaves you a voicemail message, instead of logging into a mailbox on your phone or fumbling around with multiple buttons on your phone, the voicemail will be automatically transcribed and sent directly to your email. This allows you to receive your messages promptly, give them a quick read, and ensure no more missed voicemails!

How many times have you been on a call, whether using a headset or just speakerphone in your office, when somebody inevitably “pops” in or is incessantly messaging you, completely unaware you are busy? I know it happens to me a lot, and I have certainly done it to others, oops. Most modern VoIP phones allow users to set their availability (available, busy, in a meeting, etc.). Team members can see each other’s status at a glance, minimizing unnecessary call attempts and interruptions.

Remote or hybrid work? No problem. Configure call forwarding or use a mobile app to ensure employees can take calls on the go without missing a beat. You can also enable call recording for training, quality control, and seamless consistency across your workforce, whether full in-office, hybrid, or fully remote. 

One of the last and perhaps most game-changing features of modern VoIP phones is the ability to leverage conference calling and video integration for consistent and efficient communication. Many VoIP phones support built-in conferencing or integrate with video platforms like Zoom or Microsoft Teams. Use these tools to reduce meeting friction and foster better cross-team collaboration.

Your Network Infrastructure Has to be Ready for New or Upgraded IP Paging

When looking into new or upgraded IP paging equipment, many people don’t realize that you also need to ensure your network infrastructure is prepared for these changes. I am one of those people. In a recent training session on IP paging, I realized that a lot of things were mentioned regarding the network and what was required to ensure the infrastructure could support a new or upgraded system. This caught me by surprise, so I asked, “Do a lot of people know about this or ask about this when looking into an upgraded or new system?” The answer I received was, “Typically no, and we make sure to educate them on this aspect.” So, what a perfect lightbulb moment for me to think. I should write a blog about this so that more people are aware. So, I will cover what you should know and do to ensure a seamless integration of a new or upgraded IP paging system with your network infrastructure. 

IP paging systems rely on your network to transmit audio and data efficiently. Before implementation, assess your network’s bandwidth and performance to ensure it can handle additional traffic without causing delays or congestion. You can speak with your ISP or IT provider about this or there are several sites you can use to evaluate your bandwidth usage and internet speed. 

Most modern IP paging devices use Power over Ethernet (PoE) for power and data transmission over a single cable. Verify that your network switches support PoE and can supply adequate power to all paging endpoints. If not, consider upgrading to PoE-enabled switches or using PoE injectors.

Configure and optimize Virtual Local Area Networks (VLANs) for improved performance and security to segment your IP paging traffic from other network services. This prevents congestion, enhances quality of service (QoS), and ensures paging messages are delivered with minimal latency.

If your organization uses a VoIP phone system, ensure that the new IP paging system is compatible with your Session Initiation Protocol (SIP) infrastructure. Check with your VoIP provider or IT team to confirm seamless interoperability and proper SIP trunk configuration.

With IP paging systems being part of your network, security is a key concern. Implement firewalls, secure VLANs, and access controls to prevent unauthorized access. Regularly update firmware and monitor network activity to mitigate potential cybersecurity threats.

Your paging needs may grow over time, so it’s crucial to plan for scalability. Choose an IP paging solution that supports expansion and integrates network equipment that can accommodate additional devices without significant infrastructure changes.

Before full deployment, conduct thorough testing to ensure clear audio transmission, proper device registration, and seamless integration with existing systems. Once operational, continuously monitor system performance and address any issues promptly.
